Advance Passenger Information (API)

You are now only required to provide API if your booking includes a flight on Easyjet or Ryanair.

If your booking includes an Easyjet flight

To provide your API details you will need to do so on the airline's website. To do this you will need to know your airline booking reference. This can be found on the itinerary that we have sent to you.

If your booking includes a Ryanair flight

To provide your API details you will need to do so on the airline's website. To do this you will need to know your airline booking reference and the last 4 digits of the credit or debit card that you used to make the booking. This can be found on the itinerary that we have sent to you.

Advance Passenger Information (API or sometimes APIS) is designed to enhance border security by providing Border Control Agencies with pre-arrival and departure manifest data.

The information passengers provide is transmitted to the appropriate authorities by Airlines before departure of the relevant flight with updates being provided through to the day and time of departure. 

Where required the Advanced Passenger Information must be provided between the date of your booking and 2 clear days before departure. If it is not provided by this time in advance of departure, it will be collected at the airport when passengers check-in and this will increase the time taken to complete check-in and security formalities. We therefore recommend that the lead passenger on your booking takes responsibility for completing the information on behalf of all other passengers on your booking well in advance of your departure date.

Please note that where this information is required we will not remind passengers who have failed to provide API no later than 2 clear days before departure of their flight. In these instances the information will initially be collected by the airline at check-in at the departure airport although this may cause additional delay and may also result in additional security screening being necessary; but it may also result in passengers being charged for the additional responsibility involved in collection of the information at the airport, or ultimately passengers may be denied boarding.

What is Advance Passenger Information?

Advance Passenger Information (API or sometimes called APIS) is information required by specific governments prior to travel. It is information taken from your travel document (normally your passport) and the data will be sent to the appropriate countries' government agencies by the airline on which you are travelling. There are a number of countries that require airlines to collect APIS data. You may also hear it called Secure Flight for the US and e-Borders for the UK.

Why do I have to supply API?

Advance Passenger Information details allow specific countries government Border Control and Security authorities to make routine checks on passengers before arrival and will reduce the time taken over arrival and entry formalities.

How can I supply API?

Once your booking has been confirmed and where required you will need to provide this information at least 2 days before departure using one of the following methods:

The quickest way, and which allows you to do it at the time you choose is to log in to the relevant page on the Airline's website and enter the required information concerning each passenger on your booking – please see below for what is required and ensure that you have the information to hand for each passenger before starting the process.

Alternatively, if you booked through a travel agent, please provide your travel agent with the required information for each passenger on your booking and they will ensure that it is entered for you.

Finally, if you booked direct with us and do not have access to the Internet you can call our Call Centre on 020 8492 6799 between 09:00 and 16:00 Monday to Friday and between 10:00 and 14:00 on Saturdays and provide the details that way. We do not recommend this, however, as call volumes can be high especially in the summer months and you may have an extended wait.

What information do I need to supply?

Where required you need to supply APIS information from the travel documents (usually passports) that you and the other passengers on your booking intend to use for travel to your destination. Please ensure that the travel document is valid for your destination (some countries require your passport to be valid for a number of months beyond your scheduled date of return). The information required is:

  • Full Name
  • Gender
  • Date of Birth
  • Travel Document Type (normally passport enter "P" in the appropriate field)
  • Travel Document Number
  • Travel Document Country of Issue
  • Travel Document Expiry Date
  • Nationality

When do I need to supply API information?

Where required you will need to supply API data to the airline on which you will be travelling from the date you book to 2 clear days prior to departure for all destinations.

What happens if I do not supply API?

Failure to supply API information to the Airlines that require it could result in you and other members of your party being denied boarding and not being able to travel.

What happens if my party details change after I have provided API?

If you make any changes to the people travelling on your booking (e.g. you add passengers or the identity of any of your party changes) or you change your travel document (e.g. renew your passport) after you have provided API, you must provide API for the added/changed passenger or changed document details on your booking using one of the methods described above. Please note that it is your responsibility to provide this information – you will not be reminded by Olympic Holidays.

I have missed the deadline for providing my data, how can I provide the required information?

Your data can be provided at check in; this will take additional time and you may be required to undergo additional screening, please allow some extra time at the Airport.

I only booked my flight within 2 days of departure how can I provide my API information?

This will have to be provided at check-in; this will cause you additional delay at the Airport and you may be required to undergo additional screening. Please therefore allow some extra time at the Airport in addition to the required check-in time.

I have a visa for travel to my destination country and return to the UK - will I still be required to provide API data?

Where required API data must be provided in addition to needing a Visa. When you provide your API data we will also collect the relevant data about your visa.
